The common-expense spreadsheet: what to ask Gemini or ChatGPT before month-end
Updated
Before you close the month, you want to see which line jumped. The sheet is already in Sheets or in Excel.
Gemini can work inside the Google sheet. ChatGPT reads the file you upload. The request is the same.
Step 1. Put the sheet in a file
If you work in Google Sheets, stay in that sheet. Gemini is in the same file, depending on your plan. The button name changes. Look for it on the sheet, next to Google's help menu.
If you work in Excel, export the month to XLSX or CSV.
Remove people's names. Keep the unit number if you need it.
Below is a sample CSV with round numbers. It is not a real statement. It is for trying the request.
Step 2. Paste this request
In Sheets, type the request where Gemini lets you ask about the sheet.
In ChatGPT, attach the file and paste the request in the chat.
No inventes datos. Indica cualquier información que falte para poder usar la lista.
Step 3. Compare each amount with the cell
Open the original sheet.
For each line the chat flagged, look at the two cells.
If the amount does not match, keep the cell. Delete the chat's line.
Step 4. The paragraph for the board
Once the numbers match, ask for this second text.
No calcules intereses. No inventes datos. Indica cualquier información que falte para poder enviar el párrafo.
Step 5. Attach the sheet anyway
The paragraph does not replace the sheet. Send them together.
If you will talk about interest in Uruguay, paste the rule into the request yourself: Law 19.604, 12% a year, not compounded. Do not use that rate in a meeting in another country.
Leave allocation and rounding in your billing. The chat only points at what moved.
When they ask why it went up
The sheet closes in your system. The question arrives later, on WhatsApp: why did it go up this month.
Eloria answers residents on the building's WhatsApp and by email, at any hour. It uses what you wrote down, the bylaws and that building's instructions.
It always replies to the resident. If the question needs a number that is not in the documents, it writes to you with the context. The resident still gets an answer.
It follows up complaints with residents and vendors. You see every conversation in a panel.
If you set office hours in the panel, non-urgent items wait until you are available. Urgent items reach you right away.
In the busiest buildings, 1 in 3 resident messages arrives at night, early in the morning or on weekends. Eloria answers at any hour: half get a reply in 12 seconds or less.
It works building by building. If you manage several, each building uses its own information.
Message us on WhatsApp and try it with your building's common-expense questions.
