Draft notices and complaint replies with ChatGPT
Updated
The water-shutdown notice goes out late. The leak complaint gets a hot reply.
ChatGPT writes the draft in a minute. You paste it into WhatsApp after you read it.
Step 1. Write down the four facts of the notice
Before you open the chat, write:
- What is happening.
- Which day and which hours.
- Who is affected.
- What the neighbour has to do.
Step 2. Paste this request into ChatGPT
Open ChatGPT. You do not need to attach a file.
Copy the block. Change the fact, the day and the building for yours.
No inventes datos. Indica cualquier información que falte para poder enviar el aviso.
Step 3. Read the notice out loud
If there is a date, an amount or a phone number you did not write, delete it.
Paste it in the building group. The chat does not send it.
Step 4. The first reply to a complaint
Sort the message into one of three: neighbour relations (noise, a pet), a building defect (a leak, the gate) or a request for information.
Open a new ChatGPT chat. Paste the neighbour's message inside this request.
- No culpes a otro vecino. - Máximo cuatro líneas, en español neutro. No inventes datos. Indica cualquier información que falte para poder enviar la respuesta.
Step 5. Send it, and keep one line
Read the reply. If it cites an article, delete it.
Paste it in that unit's private chat. Do not paste it in the group.
Keep one line for yourself: date, unit, what was asked, whether a visit is already set.
You write to the vendor separately. Building, unit, what is wrong. Ask for a visit window. Do not forward the anger.
When the notice and the complaint keep coming
The draft saves the writing. Sending, follow-up and the middle-of-the-night reply stay on the phone.
Eloria sends notices and takes complaints on the building's WhatsApp and by email, at any hour, with the instructions you leave.
It always replies to the resident. If a date must be promised or the vendor must be contacted, it writes to you with the context. The resident still gets an answer.
It follows up the complaint with the resident and with the vendor. You see every conversation in a panel.
If you set office hours in the panel, non-urgent items wait until you are available. Urgent items reach you right away.
In the busiest buildings, 1 in 3 resident messages arrives at night, early in the morning or on weekends. Eloria answers at any hour: half get a reply in 12 seconds or less.
It works building by building. If you manage several, each notice uses that building's facts.
Message us on WhatsApp and try it with your building's next notice.
